Ten questions to ask before buying clinic software

Most clinic software looks similar in a demo. These ten questions show the differences that matter once you use it every day.

  1. Does it record the lot number and expiry of every vial? Ask to see where the lot appears on a patient's treatment.
  2. Can staff pick an expired lot? The right answer is no.
  3. Does it count stock per lot and deduct units after each treatment?
  4. Is consent tied to the treatment type? Botox, filler and laser need different forms.
  5. Does it handle laser parameters and skin type? If you do laser, you need these fields.
  6. How does it deal with packages, memberships and deposits? Ask what happens on a refund, a no-show or an expired package.
  7. Who can see what? A receptionist should not see clinical notes unless you want that.
  8. Can you try it with your own treatments before you pay? A pilot with your real stock tells you more than a demo.
  9. Who answers when something breaks? Ask about support hours, language and the channel, such as WhatsApp.
  10. What happens to your data if you leave? Ask whether you can get a copy and in which format.
